This presentation will describe how the English Language Program at International Christian University, Tokyo has adopted the use of freely available online social software (Google services and Del.icio.us in particular)  to stimulate "C3" work practices on a program-wide basis.

Abstract (150-250 words): How can instructors and administrators in large scale ELP programs most efficiently communicate, collaborate, and build a sense of community? Since April 2007, the ELP at ICU has been moving forward with an initiative called "ELP C3" to train all staff to create, share, and archive documents online using a variety of free Google services including Gmail, Google Documents, Googe Calendar, and Google Groups. Based on their experiences as committee members in charge of planning and implementing the c3 initiative, the presenters will describe the background, rationale, system design, benefits, implementation steps, current level of success, and potential risks of ICU's use of free online social software services. The presenters will argue that the benefits outweigh any potential risks, with the main benefits being increased efficiency in relation to 1) sharing ideas on curriculum and program management documents such as class worksheets, 2) collaborating in the creation of documents, and 3) archiving past documents.

Thanks for your comments, Bill. My feeling is the same, that Google is just as secure as anything we could use at ICU.

While Google reserves the right to browse all data on its servers, they promise to protect the security and privacy of data. Their backup of data is probably (I'm guessing) superior to any drives or disks we use here too. If something leaks or crashes for some reason, Google is liability free (according to the terms), and the ELP cannot sue them, but that does not necessarily mean (I'm guessing, again, I don't know for sure) the risk is any higher than keeping things on our drives or disks or ICU's servers.

Just to add a little context to my delicious posting, my search for "Is Google safe?" was motivated by a conversation I had with Mike in the copy room. He told me that he was worried about privacy and security with using Google services and that he had done an Internet search and found some reason to believe we should be cautious about this. I had never done a search on that, so I tried it and the LawAndrew article was the only substantial one I hit.

I read through the blog and through Google's terms of service, and agreed with the consensus(?) on the LawAndrew blog that Google is just as good (and just as risky) as anything. Just like any data on any hard drive, we need to back up documents we don't want to lose, and we need to keep our passwords strong and secret. Other than that consideration, there seems to be, so far on the blogosphere, no publicized instances of leaks or lost data from Google services. If there were, we would hear about them - we assume.

However, to be safe, we may need a policy or suggestion of how to backup data. Without network connections, nothing on Google can be accessed, so having periodically backed up offline archives of documents is important. The only way I know how to do that is Other Actions - > Export as HTML (.zip), and seems to work well.

We may also need a policy on what information (students' personal data? grades?) should not be stored on Google servers, which are open to Google employees and affiliates, and to anyone who gets a teacher or ELP password someway.

I hope we can touch on this at our next meeting.

Hi,

Responding to the article that Mark tagged about Google doc security. -- I actually find the security greater than I expected.  I've been running some tests and I have been very pleased with the results. I agree though, that no information on the internet is completely safe, just as no information in our computer files or filing cabinets is completely safe, but Google docs doesn't appear to be any less secure that what we have used up to now.

Dear C3ers,

I thought Bill's opening was very useful in setting the context. Dave & Mark did a great job too, especially to keep people on task and on track when the technology sought to do otherwise.

From here, I think we need to keep our focus on establishing CSR as work practice through follow up one-to-one sessions. That is probably enough to do this semester.

Bill's questions point to work that does need to be considered & I hope will be part of next meeting's discussion, during which I think we should decide what our main goals are this semester, being mindful of adding any new initiatives at this stage.

1. ELPC3ers need to model the Create-Share-Republish work flow in their daily practice. This is not established in our own group as yet.

2. Start with a small group of strategically placed individuals (not whole ELP) e.g. Coordinators, ELP Office.

3. Develop a USB drive hosted Personal Work Environment (PWE) with each participant

4. Work through simple teacher-tasks to complete the Create-Share-Republish cycle, integrating Gmail, GCal, GDS, Delicious, Blog, & GReader.

5. ELP Roll Out: Each attendee will teach one other person in the ELP. Each new trainee teaches another staff member. ELPC3 members will also teach 5 other teachers over the semester (PWEs useful here). Make a GDS form to track live who has taught who. Goal is to teach face-to-face everyone in the ELP at their personal machines at a time convenient to them before start of Term Two.

6. Scheduled whole(?) ELP PD sessions to consolidate understanding. skills, and individual work flow practices. Connect to 'new' program-level curriculum & course development cycles.

7. Coordinators facilitate sharing of course materials via GDS via Delicious to course homepages. Teaching assistants may be co-opted to help. Aim for all materials to be online before start of AY 2009.

5. ELP Roll Out: Each attendee will teach one other person in the ELP. Each new trainee teaches another staff member. ELPC3 members will also teach 5 other teachers over the semester (PWEs useful here). Make a GDS form to track live who has taught who. Goal is to teach face-to-face everyone in the ELP at their personal machines at a time convenient to them before start of Term Two.

6. Scheduled whole(?) ELP PD sessions to consolidate understanding. skills, and individual work flow practices. Connect to 'new' program-level curriculum & course development cycles.

7. Coordinators facilitate sharing of course materials via GDS via Delicious to course homepages. Teaching assistants may be co-opted to help. Aim for all materials to be online before start of AY 2009.

ELP C3: PD First Steps

Dear C3ers,

I would like to offer a few starting points for discussion regarding the first PD session:

1. ELPC3ers need to model the Create-Share-Republish work flow in their daily practice. This is not established in our own group as yet.

2. Start with a small group of strategically placed individuals (not whole ELP) e.g. Coordinators, ELP Office.

3. Develop a USB drive hosted Personal Work Environment (PWE) with each participant
